Blocking Time

How do you structure your work schedule each day? If you’re like most people, you really don’t structure it. Or you open your email in the morning and let IT tell you what to do.

I’ll tell you, there’s no better way to slice and dice your day into hopeless little pieces.

Instead, start every day by blocking time. Scribble a complete list of everything that’s barking for attention. Not everything is equally important – heck, not everything even needs to be done at all. Cross off anything you can forget about or delegate. Next, mark anything that doesn’t have to be worked on today.

Now you’re ready to lay out your schedule for the day.

Block time first for the most important activities. BUT—that doesn’t mean you have to do those things first. In fact, since those are often the most complicated and time-consuming, piling them up in the morning may just guarantee you’ll never finish everything. Instead, scatter those non-negotiables through the day.

You might not be working on the Dickerson project the moment you sit down in the morning, but you know that 10:30 to 12:00 is for the Dickerson project, period. And work on the budget summary is scheduled for 1:00-1:30, the revenue forecast is 3:00-3:45, and the inventory report is 4:15-4:45. Block those projects first, then fill in the gaps between them with negotiables—the things you’d like to finish today, but don’t absolutely have to.

What happens if you need extra time on that budget summary? It bleeds over into the time scheduled for those less important things. Maybe one of the less important items gets bumped to Tuesday. So what? You finished the thing that needed finishing, and you still start the revenue forecast on time.

Now what if you had stacked your non-negotiables at the beginning of the day, and each one took more time than you thought? Now you’ve got crucial things bumping into crucial things. That’s not going to end well. Something important is going to end up unfinished.

It’s like the old story of the jar, the rocks, the pebbles, and the sand. Put the sand in the jar first and there’s no room for the pebbles or rocks. But put in the big rocks first—the most important things—then you can pour the pebbles and the sand into the spaces in between, and everything fits.

Likewise, when you make your daily schedule, block time for the big, important things first, but allow space for the less important things in between. Do this and you’ll never have to tell your boss you were too busy to do what was most important.

 

Your Body Tells All

Thank God it’s Monday!™ You lean too far forward, and they step back. You lower your voice, and they lean forward. You look them directly in the eyes, and suddenly you are both completely engaged.

Our bodies speak more than our tongues. In fact, research suggests that 60-70 percent of all meaning is derived from nonverbal cues. So what are you really telling those around the office? While in a literal sense you may indeed say nothing, you may very well be saying more than you’d imagine.

Be aware of what your body tells those around you. Stand with your arms open as your boss offers a critique.
Look people in the eyes as you discuss strategy in the Monday morning meeting. Listen with your eyebrows up and nodding your head, and people will love sharing more. Confidently accept the difficult task that has been delegated to you.

People will ‘hear’ the difference.

Who Are You When Nobody is Looking?

Thank God it’s Monday!™ Who are you when no one else is looking? Imagine that your boss steps out for the week and your manager’s away for a few days. You’ve been working soooo hard, and now, finally, you’re free from the pressure of your employers.

You still come into work. You still sit at the same desk. You still drink the same coffee and eat at the same time. But how have you changed?

Do you continually muster the same energy, seize the same opportunities, work just as diligently? Or are you finding ways to mess around—I mean really, who’s looking?

Only you can truthfully answer these questions.

At day’s end, you can spin what you’ve accomplished however you’d like—you can convince yourself that you worked soooo hard. You can convince others that you’ve contributed soooo much. And maybe you have.

Only you know.

Who you are when no one else is looking is a great indicator of who you are for real. Your integrity is made visible.

Exceeding the Minimum

Thank God it’s Monday!® Do you pay the minimum amount on your credit cards each month? If you do, you might want to take a close look at your next statement. Give the minimum and it can take seven to ten years, or twelve years, to pay off the balance. But pay more than the minimum and you’ll polish it off in a fraction of that time—and pay a whole lot less interest.

Now apply the same logic to your job. If you’re just doing the minimum, you might be digging yourself a hole. If you think it’s okay to have your coat on at 4:59, for example, you might end up being the first one out the door in a whole new way. Instead, make a point of exceeding the requirements of your job. Blowing past expectations is the best way to make yourself irreplaceable.

Perspective

Thank God it’s Monday!® It’s never hard to find an excuse for falling short of expectations. We’ve been sick, after all, or busy, or stressed. But a client of mine has an employee with a lesson for us all. She has terminal cancer. It’s hard to think of a more legitimate excuse than that. But instead of turning inward, instead of giving up, she inspires her team every day as she wows customers and shows deep concern for teammates. On the other hand, we all know people who need to go home because they have a hangnail.

Life and work are what we make of them. We could all stand a reminder to take our results seriously and ourselves much more lightly.
